Getting Started
Yes, and often more than for tech businesses. Traditional businesses run on process: orders, invoices, scheduling, quality records, supplier paperwork, reporting. The biggest returns usually come from high-volume, repetitive, rules-based work rather than anything futuristic: checking supplier invoices, producing quotes, planning and scheduling, re-keying data between systems that don't talk to each other, chasing documents, and compiling reports. If a task is done the same way many times a week, it is worth looking at. Our use cases show worked examples with the numbers behind them.
It's a good sign, it means your people are curious and ready. But individual use of tools like ChatGPT makes one person a little faster at their own tasks. It doesn't change how the business runs, it rarely reaches the balance sheet, and it usually leaves when that person does. The larger opportunity is organisational: redesigning whole processes around AI so the gain is measurable and permanent. Unmanaged individual use also carries data and compliance risks that a governed approach removes. We've written more on this in our blog.
AI releases capacity; it doesn't decide what happens to it. That choice stays with you. Where a saving is taken, it is typically managed through natural turnover rather than redundancy. We are honest about the numbers either way, and your people are involved in designing the solution rather than having it done to them.

Every solution we build includes verification appropriate to the work: human review where judgement matters, automatic flagging of anything unusual, and clear boundaries on what the AI can and cannot do. Lean AI is the integration of Lean methodology with artificial intelligence implementation. Rather than deploying AI speculatively, Lean AI starts by mapping and quantifying waste, then applies the most appropriate AI tools to eliminate it. AI vendors are solution-led, they arrive with a product and look for problems it might solve. Boxtree is problem-led: we start by identifying your specific operational challenges and only then select the right AI tools to address them. We're not tied to any single vendor, platform or product.
No. That's rather the point of working with us. We deliberately avoid technical AI language. Our conversations are about your operations, your challenges, and the outcomes you want. We handle the technical complexity. What we need from you is honest insight into how your business works, the rest is our job.
About Our Support
It means that for every Boxtree engagement, we agree measurable targets, typically annualised time or cost savings, before we begin. Our fees are set such that the measurable return in Year 1 always exceeds the cost of our support. Your investment pays for itself in the first year. In practice, we target a 5:1 return.
No. Our cost-neutral approach is about how we price and structure our work, we only proceed with interventions where the business case clearly shows a Year 1 return that exceeds the cost. It is not a performance-structured payment or risk/gain share arrangement. You pay our agreed fees; we ensure the work justifies them many times over.
A typical single-workstream project runs over 8–16 weeks from Discovery to embedded implementation. Discovery usually takes 2–4 weeks; Business Case a further 1–2 weeks; Implementation the remainder. We work to a clear plan agreed with you at the start of each stage.
Almost certainly not. We design solutions around your existing environment. One of the most common opportunities we identify is connecting systems that don't currently communicate, eliminating the manual handoffs between them. Wholesale system replacement is rarely the right answer and is not something we recommend unless it is genuinely the most cost-effective path.
We work alongside your team, not in isolation from them. During Discovery, we need access to your operations and the people who run them. During Implementation, we work with your team to test, refine and embed solutions. Involvement is structured to add value rather than burden, but genuine engagement is important for solutions to be well-designed and properly embedded.
Safety & Suitability
Safety and governance are built into every Boxtree project from the start. We create governance frameworks specific to each engagement that define how AI can be used, what data it can access, and how outputs should be reviewed. We also address the risk of ungoverned AI workarounds, the individual, unsanctioned use of AI tools that create data security and compliance risks.
Yes. Data security is taken extremely seriously. We work within your data environment wherever possible, avoiding unnecessary data movement. Where data needs to be processed externally, we operate under strict data handling agreements and always comply with your policies and applicable regulation. The same controls cover your customers' and suppliers' data.
Our primary focus is mid-market businesses, typically with revenues of £20m–£250m, with significant operational complexity and meaningful administrative workload. The key factors are whether there is sufficient manual, process-intensive work to justify a project, and whether the organisation has the appetite and capacity to implement change. We leave you with embedded solutions, trained people and a governance framework that enables ongoing value. We also offer a retained support arrangement for businesses that want ongoing advisory access, governance review and continued AI opportunity identification. Many clients find that Discovery surfaces multiple opportunities, and we work with them on a phased plan to address these over time.
